The problem

When all members are rarely in the same place

In a club, Secret Santa often involves more people than a private gift exchange. There may be active members, coaches, youth groups, board members, volunteers and people who cannot attend every meeting.

Drawing names on paper only works when everyone is in the same room at the same time. If someone is missing, joins later or should not be matched with someone else, the process quickly becomes messy.

Preparation

Finalize the participant list before the draw

Create a new Secret Santa group for your club, team, section or activity group. This could be the first team, choir, youth group, board or volunteer team.

Add everyone who takes part. For larger clubs, it may be better to create separate groups for youth members, adults, teams or sections.

Then decide who should not draw whom. This is useful for couples, siblings, households, coaches or specific relationships inside the team.

After the secret draw, share each personal link with the right person. No public result list is needed in the group chat.

Agreement

One shared gift rule keeps the round comfortable

A good club Secret Santa should be simple, fair and suitable for the group. If you still need to settle budget, gift expectations and handover, set the gift rules first.

Useful agreements include a fixed budget, voluntary or clearly limited participation, age groups where needed, a suitable gift style, excluded pairings and the exchange date.

Club life

A sports club, choir and youth group do not need the same rules

Secret Santa works for many types of clubs and groups: sports clubs, teams, choirs, music clubs, volunteer fire departments, youth groups, bowling clubs, dance groups, theatre groups, culture groups, board members or volunteers.

The rules can be adapted to the group. A youth group may need a smaller budget. A choir or music club may enjoy a theme. A sports team may prefer practical or funny gifts, as long as they remain respectful.

Wichtlify does not organize the event itself. It supports the group setup, participants, exclusions, secret draw and personal links.

Age groups

With mixed ages, the budget needs to work for everyone

Many clubs include children, teenagers and adults. Decide before the draw whether everyone joins one group or whether separate groups are better.

For children and teenagers, simple rules are especially important: a small budget, a clear deadline, no embarrassing gifts and maybe parent involvement. For adults, the exchange can be more flexible.

If the age gap is large, separate Secret Santa groups are often easier and fairer. Wichtlify does not decide that automatically, but you can create multiple groups.

Exclusions

Remove obvious or unsuitable pairings before drawing

In clubs, some people know each other very well, while others barely know each other. Some live in the same household, are siblings or work closely together. Exclusions can make the draw fairer and more interesting.

Common exclusions include siblings, couples, households, parents and children, specific coach-player combinations or pairings that would not make sense in your group.

Wichtlify considers these exclusions during the draw, as long as a valid assignment is still possible.

The gift

The gift can reflect the club without embarrassing anyone

Good directions include a water bottle, towel, sports accessory, notebook, pen, small tool, snacks, tea, coffee, regional treats, small games, puzzles, club merchandise or homemade cookies.

Better avoid gifts that embarrass someone, inside jokes only a few people understand, gifts far above the agreed budget, alcohol in youth or mixed-age groups and very personal items if you barely know the person.
